ATEÏS Documents Digitizing & Cloud Journey
As a manufacturing business, holding market leading R&D know-how for its products and patents, ATEIS was managing all business units on paper centric processes. Lacking alternatives, the company was storing a decade old documents both within the Head Quarter Offices as well as in ATEIS’s warehouse. To optimize document and data search and retrieval, ATEIS decided to digitize the decade old and current business documents and to make their content and index information available in a performant but secure manner. ATEIS began an evaluation of enterprise capture and business automation solutions and decided to standardize on both Microsoft Cloud Services as well as Kofax Express for ongoing document digitization requirements. In addition, ATEIS required an outsourcing provider to provide an end to end solution also including physical Records Management.
ATEIS chose Oryx Technologies to digitize approx. 300,000 pages of backlog and current business documents. Oryx supported ATEIS in the definition of document types, index and classification requirements. All documents were scanned as an outsourced service by Oryx staff and uploaded to the existing Microsoft SharePoint 2013 solution implemented by Oryx Technologies as part of the engagement. In addition, Kofax Express was implemented to capture ongoing incoming business documents with a direct integration to SharePoint Online. After successful migration and upload of all relevant documents and their online availability on the SharePoint portal all documents were packed and re-boxed and shipped to Glenbeigh Records Management for long-term, secure storage. The fact that Microsoft and Kofax are off-the-shelf software solutions and market leaders gave the team the additional confidence they made the right choice for ATEIS.

Today ATEIS fully operates its business in the cloud. All business documents are stored securely, with a fully centralized administration and document access control. ATEIS today operates in an 80% paperless environment. The outsourcing of Content Capture and Records Management has enabled ATEIS to postpone the acquisition of further office space by at least 8 months as new employees can still be facilitated in the current premises. According to Hussam Al Haddad, General Manager ATEIS, the implementation and integration was efficient and within budget.
