a success story
“records management”
HYATT Southeast Asia
the challenge
probably familiar to every hospitality back office manager are the challenges of too little space to keep mandatory records, financial or administrative, including guest records
ever-increasing regulation and legislation made records keeping more complex and costly for HYATT
HYATT therefore approached oryx outsourcing to find a solution for providing off-site records management or so called deep storage
HYATT's foundation in family goes back to 1957, when entrepreneur Jay Pritzker purchased the original Hyatt House motel
Pritzker and his brother, Donald, worked to grow the Hyatt brand, powered by their belief in the importance of family and care
As of December 31, 2019, Hyatt is a global hospitality company with 20 premier brands and more than 900 hotel, all-inclusive, and wellness resort properties in over 65 countries across six continents
the solution
oryx outsourcing replaced the storage service in place, offering a full records management service with costs savings, process efficiencies, improved management information and the much needed technology improvement of an online portal
the proposed service comprised of local storage at the head offices for records in regular use and ‘deep’ storage, for the older records, which were infrequently accessed, at a more economic storage rate
the results
the local storage service provides a same-day response and provisioning of requested records
the online portal gives HYATT ownership of archiving thus reducing administrative time and cost, as well as providing a traceable audit trail of all archive movements
the whole operation is much more efficient as it also flags the destruction of records at the end of their respective retention periods if required
